What is MyMail?

MyMail is part of a service partnership between Mines and Google. This partnership enhances your Mines email capabilities, and enables you to use the popular suite of Google applications (including Google Docs, Talk, and Calendar) directly from your MyMail account. Once created, you can access your Mines email through a variety of email clients, mobile devices, and Google's Gmail interface. Your email data is stored on Google's servers. MyMail is typically used by Mines students. Staff and faculty use Exchange email.

  1. When will my MyMail account and @Mines.EDU address expire?

    Please see the FAQfinder entry on e-mail account expiration. It can be found HERE.  In short, your account is eligible for removal as soon as you are no longer a registered student, faculty, or staff.

  2. Can I access my mail from the internet? What are the IMAP / POP server settings for MyMail?

    You can access your student email at http://mymail.mines.edu from practically any computer with a web browser. Log on with your Mines MultiPass credentials. You can also access MyMail with an email client program like Thunderbird, Mac Mail, or Outlook -- any program that supports the IMAP or POP protocol.  With a POP client your email is moved from the CCIT MyMail server to a local computer and no longer backed up on Mines servers. With an IMAP client your email is accessible remotely, but is stored and managed on the server. Most popular POP email client programs also function as IMAP clients. Although there are advantages to using each, we recommend that you use IMAP for flexibility of access. You should use POP only if you fully understand how it works and the ramifications of where your mail will be stored and how it can be accessed.

    Note: Before you can send or receive email via POP or IMAP, you need to log on to http://mymail.mines.edu/ and enable the proper protocol by clicking on Settings (a sprocket icon) -> Forwarding and POP/IMAP.  Enable POP or IMAP, as appropriate and save your settings.  You will also need to generate a new password that is only used for POP and IMAP connections to MyMail.  See FAQ #19 for further information on resetting passwords.  Once your password has been set, use the following settings to access your MyMail account using POP or IMAP.

  1. What is my address? Is it @mines.edu or @mymail.mines.edu?

    Your official address is your @mines.edu address. E-mail going to your @mines.edu address will automatically be forwarded to MyMail as long as you are a registered student. Once you are no longer a registered student your MyMail account will be removed along with the @mines.edu forwarding.  What does this mean? There is no need for you to change your existing @mines.edu email address on documents, correspondents' lists, etc.

  2. What is the advantage of using the @mines.edu address?

    Using your @mines.edu address will allow incoming messages to be routed to on campus servers then routed to your MyMail mailbox. This enables you to have emails scanned by the CCIT spam filter. This also allows whitelists or blacklists to be used when combined with an CCIT spam filter quarantine account. Using the @MyMail.mines.edu address bypasses all CCIT servers and routes mail directly to Google. For those eligible for a "Mines Email Forever" account, the @mines.edu address will cause minimal disruption.

  3. What is the advantage of using the @mymail.mines.edu address?

    Using your @mymail.mines.edu address will bypass the CCIT spam filter or any other on campus servers and will deliver mail directly to Google's servers. This will bypass any whitelists or blacklists configured in a CCIT spam filter quarantine account.

  4. How do I access MyMail?

    MyMail can be accessed via the web interface by using either http://mymail.mines.edu or http://mail.mymail.mines.edu. IMAP and POP access via email client are also available, as described above. You will need to log into MyMail and enable those protocols to use them.

  5. Can I use Mines Webmail to access my MyMail account?

    No. You will need to use the Google web interface or enable POP or IMAP on your account. (Mines Webmail is no longer provided as a service.)

  6. Will I need to re-subscribe to campus mailing lists?

    No. We will migrate those subscriptions for you.

  7. Can I use Thunderbird, Outlook, Apple Mail, or another email client to access MyMail?

    Yes. IMAP or POP can be enabled for your MyMail account. Simply login, choose settings, and enable the service you would like to use. Configuration settings and instructions can be found on the "Forwarding and POP/IMAP" settings tab in your MyMail account settings. Note: These settings will be specific to Google. You will not use imap.mines.edu or pop.mines.edu to check mail. Settings can be found on Google's help page under "Other ways to access Gmail." Keep in mind your username for IMAP or POP access will be your full email address such as USERNAME@mymail.mines.edu and NOT USERNAME@gmail.com as the help pages imply.

  8. What are the attachment limits for MyMail?

    Attachments can be no larger than 20 megabytes in size after transport encoding. Typically attachments 15 megabytes and smaller will encode and be delivered to your MyMail mailbox without any problems. Attachments between 15 and 20 megabytes MAY be larger than the allowable limit after it is encoded for transport between mail servers. It is good practice to keep messages under 15 megabytes in size.

  9. Are zipped attachments allowed?

    Yes, with some provisions:

    • Do not contain executable files, which are security risks and not permitted as attachments or within archives.
    • Are less than the maximum attachment size limit.
    • Are not password-protected or encrypted.
       
  10. Are PGP encrypted attachments allowed?

    Yes. As long as they are less than the maximum attachment size limit.

  11. What is the quota size for MyMail?

    MyMail quotas are increasing daily. As of this writing the quota for your MyMail account is over 7.3 gigabytes.

  12. If I permanently delete messages can they be recovered?

    No! Once you delete a message by clicking on the "Delete Forever" button they are no longer available and cannot be retrieved under any circumstances. They are gone! Do not click on "Delete Forever" unless you really mean it. Do not enable POP unless you understand that it will remove messages from the server when your client connects.

  13. Does MyMail support mobile devices such as the Apple iPhone or RIM Blackberry?

    You may need to enable IMAP or POP if you wish to use a mobile device with your MyMail account. CCIT advises IMAP since messages are kept on the server and reduces the amount of memory required of your mobile device. The IMAP protocol works great with the Apple iPhone. At this time PUSH email is not available.

  14. Can I sync my MyMail calendar and contacts with my mobile device?

    Yes. Follow these instructions on the Google Sync help page for iPhone support. Other phones can be found here.

  15. Will I see advertisements like I see with my regular Gmail account?

    No. Advertisements are disabled for the mymail.mines.edu domain, however, alumni.mines.edu accounts will have ads enabled.

  16. I see tickers above my inbox. Can this be disabled?

    Web clips can be disabled by choosing Settings -> Web Clips -> then uncheck "Show my web clips above the Inbox."

  17. How do I reset my MyMail password?
    Visit https://identity.mines.edu. If you have previously set up your challenge questions, you can quickly reset your MultiPass password. If you have not set up your challenge questions, please visit the Computer Commons Front Desk (CT156a) or submit a support request via Mines Help Center "Helpdesk" for assistance.

    IMAP/POP Passwords
    There are two passwords associated with your MyMail account.  The first password is your web login password.  This password is also shared with ADIT, Trailhead, and Multipass systems.  The second password is stored with Google and is used to access your MyMail through IMAP and POP mail clients.  Both passwords can be reset through the Identity self service login page at https://identity.mines.edu.  Click Manage Your Account and login with your current password.  "Change my password" will reset your Multipass, ADIT, Trailhead passwords.  "Change my Google IMAP/POP password" will generate a new password to be used only when accessing mail through MyMail and POP or IMAP.  You can not generate your own POP/IMAP password.

  18. What about backups? Should I be backing up my messages?
    CCIT does not backup or maintain any copies of data assocciated with your MyMail account. This includes messages, contacts, gdrive,  or calendar information. It is your responsibility to keep copies of the data you believe is important in a secure place other than in the MyMail Google cloud. There are various programs that will backup Google mailboxes. Do a Google search for "gmail backup" to see what is available. Another option is to enable IMAP and copy messages from MyMail to local folders stored in your mail application. You will still need to perform regular backups of the machine your mail application is run on.

  19. How do I automatically filter and delete a message with a particular phrase in the body?

  20. When I send e-mail from my @mymail.mines.edu account to my @mines.edu address it doesn't appear in my Inbox.
    When a message is sent to your @mines.edu address from the address it forwards to, your MyMail address, Google will discard the message as a duplicate. The original message is still found in your Sent Mail folder. 

  21. How do I logout of MyMail?  /  Why doesn't the Sign Out button work?
    MyMail web logins are now handled by Mines' servers.  When you sign in using the MyMail login page, our servers tell Google that you are a trusted user and should be allowed to access your mailbox.  Google does not store sign in cookies on your machine since we were the ones providing authentication.  Instead, we store our own cookies in your browser cache.  Because of this, the hard coded "Sign Out" button that is a part of all Gmail accounts will not work for MyMail users.  You should EXIT or QUIT the entire browser program to properly sign out.  Closing the browser window or tab is not enough.  You must QUIT or EXIT the entire browser application.  Once the browser quits, the cookies will expire immediately.  For browsers that are left open, the cookies will expire sixteen hours after login.

    It is extremely important if you are using a public computer such as a library kiosk, internet cafe, or even a roommate's computer, that you QUIT the browser and sign out of the computer.  If you fail to do this it is possible someone else may be able to access your account.
